Why credit notes cannot be imported into bexio
One of the most frequent requests we receive: “Can we use Importly to import credit notes into bexio as well?” Until now, our answer has been that we would look into it. That review is now complete – and unfortunately the result is clear: importing credit notes is currently not technically possible.
Why it does not work
Importly works exclusively through bexio’s official interface (API). Everything we import has to be accepted by bexio through that interface – entries, invoices, contacts and articles.
For credit notes, the bexio API currently offers no way to create records. Credit notes can only be entered directly in the bexio user interface. Until bexio extends the API, no third-party provider – including us – can import credit notes.
We would be happy to build this feature. But the missing piece is not on our side.
What you can do instead
- Enter credit notes directly in bexio. For individual credit notes, this is usually the fastest way.
- Submit the request to bexio. This is the most effective lever. The more customers ask bexio for this feature, the sooner the API will be extended accordingly.
Workaround via the invoice import
If you need to record many credit notes at once, there is a detour via the invoice import. It involves several steps, but it can save time when the line items are already available in a table:
- Import it as an invoice. Enter the credit note in the import template as a regular invoice – with positive amounts – and import it into bexio.
- Create a credit note from it in bexio. Open the imported invoice in bexio and create a credit note from it.
- Copy the credit note. The new credit note is still linked to the invoice. So create a copy of it – the copy stands on its own.
- Delete the original invoice. Finally, delete the imported invoice so that only the copied credit note remains.
The result is a standalone credit note in bexio. Test the process on a single document first before applying it to a whole batch.
What happens next
We keep an eye on how the bexio API develops. As soon as bexio allows credit notes via the API, we will implement the import – the topic is on our list. You will find the news here on the blog as usual.
